Job Description

  • Assist Manager and Supervisor with all aspects of the Air Export Department, while ensuring the proper and timely movement of freight, while providing an exceptional customer service.

Key Responsibilities

  • People:
  • ㆍIdentify with manager / supervisor, develop, and mentor your No. 2.
  • ㆍSupport the supervisor where needed
  • ㆍAllocate workloads within team to ensure smooth operations during peak activity or staff absence.
  • ㆍBe a guide for the team - mentor agents
  • ㆍEnsure team meets company standards of 52 hours training per year per employee.
  • ㆍFollow-up new hires training as per the company requirement standards.
  • ㆍPeriodically communicate department goals and expectations with team to ensure buy-in and accountability.

  • Operations:
  • ㆍEnsure smooth and timely freight process flow.
  • ㆍPrepare various documents for international transportation.
  • ㆍCoordinate and negotiate rates with our contracted vendors in procuring space and services.
  • ㆍEnsure accurate and timely client and vendors billing.
  • ㆍEnsure accurate and timely data entry into our operating system.
  • ㆍInteract with our customers in arranging their international export shipments, meeting customer service standards.
  • ㆍMeet compliance at all times to regulations.  This includes internal policies and procedures such as Operational Process Standards (OPS) and external government regulations or customer policies / requirements.
  • ㆍUnderstand department process flow, constantly looking for areas of improved efficiency.
  • ㆍEnsure all customers standard operating procedures are followed as per the DLSOP.
  • ㆍWork with the team on meeting KPI standards, as per the company’s procedures.
  • ㆍMonitor shipment reports to ensure total customer satisfaction
  • ㆍOverseas communications
  • Support the supervisor in the following areas:
  • ㆍDaily review Stat 1 and operational reports and work with team on updating event codes
  • ㆍAudit files and work with the team on meeting operating process standards
  • ㆍBuild and maintaining strong relationships with vendors (airlines, trucking companies, and others) and customers.
  • ㆍEvaluate vendors at defined intervals per company policy, focusing on areas of possible improvements with corrective action plans where needed.

  • Customer
  • Support the manager and or the sales department where needed:
  • ㆍAssist the manager and supervisor in timely responding to requests for information and with market competitive pricing matching the scope of service required by the customer.
  • ㆍParticipate to the transition of new business/ updates to existing business.
  • ㆍAssist in retention calls and complete customer reviews with your regular customers to document in the CRM.

  • Finance:
  • ㆍProactively work to maintain and monitor accounts payment within 30 days.
  • ㆍEnsure company credit procedures are followed and utilized effectively.
  • ㆍAccurate and timely billing of vendors and resolve accounting issues.
  • ㆍMonitor accounts payable to vendors (airlines, truckers etc.) utilizing BNP report.
  • ㆍMonitor intercompany accounting discrepancies via AJAX report.

  • Compliance:
  • ㆍPromote compliance in diligently following all company policies and regulations and in being the role model of integrity and pride for all employees.
  • ㆍProactively communicate with the team to ensure continuous awareness and understanding of policies and regulations. 
  • ㆍMaintain a positive relationship with the Trade Compliance Manager and support all compliance efforts and trainings.

Qualification

  • ㆍBachleor's degree from four-year college or university
  • ㆍIATA Certification is preferred but not required
  • ㆍMinimum 1~3 year related experience
  • ㆍStrong problem solving, organizational, and interpersonal skills
  • ㆍOral and written proficiency in the English language
  • ㆍEffective interpersonal skills, including proven abilities to listen, comprehend, effectively communicate clearly and concisely to obtain positive results.
