This role is a managed service contractor and the successful candidate will be hired as a regular employee by JLL(Jones Lang LaSalle), not by VMware directly.

  • Employees and Visitors / Site Operations Management
    ● Provide receptionist service delivery: Working hours 9:00 am – 6:00 pm
    ● Ensure the reception area is clean, tidy, secure
    ● VMS support: Greet and guide visitors / clients, informing staff of their arrival
    ● Handle and redirect incoming calls to the main number
    ● Mail service: Respond quick courier/ DHL request
    ● Badge: Temp badge issue / ID badge issue for new hires / Building card issue support
    ● Monitor conference room bookings and coordinate meeting rooms setup
    ● Arrangement of newspapers and journals in the office
    ● Lost and Found management
    ● Respond to inquiries from customers regarding office information
    ● Assist carpark management (engaging with parking lot vendor)
    ● Business card service: Coordinate with processing business card printing by following the standard procedure
    ● Assist Workplace manager as requested
    ● Management lockers – Assign and set up password
    ● Newspaper payment (Monthly)
    ● Checking inventory stocks – Pantry items and office supplies (Weekly)
    ● HelpNow+ Ticket management

    Health and Safety Management
    ● Support physical security team for monthly duress alarm and AED audit
    ● Permit to Work when necessary (can avoid by not having any vendors when Workplace manager is not onsite)
    ● Security: Maintain VMware/JLL confidentially at all the times
    ● Monitor the clearer
    ● Escalation process in case of emergency by escalation chart
    ● Contact security immediately for all types of security breaches and problems situations
    ● Checking First Aid stocks
    ● Keep main door to secure

    Monthly Event Management
    ● Support monthly event preparation
    ● Propose ideas to improve event and service quality

  • Requirements
  • ● Over 1-2 years of experience in related field preferred
    ● Previous working experiences in receptionist/concierge/customer service/hospitality preferred
    ● Excellent people skills and ability to interact with a wide range of client staff and demands
    ● Self-motivated with good teamwork and good communication skills
    ● Good English communication skill in both verbal and written
