The role of a general administrator is critical in organizations as they play a central role in coordinating and managing administrative tasks, processes, and operations.. The primary responsibility of this role is to provide administrative support across various functions within the organization. A general administrator ensures the smooth functioning of day-to-day operations by handling administrative tasks such as handling a wide range of administrative tasks within the manufacturing facility. They manage documentation, record keeping, data entry, and correspondence, ensuring that all necessary paperwork and processes are properly executed. This administrative efficiency contributes to streamlined operations and prevents delays or errors.Responsibilities include but are not limited to:
• Drives a culture of "Do It Safe, Do It Right the First Time" with their actions and their words on a daily basis.
• Schedules and organizes company events for ALAM Korea (all worksites incl. AMCK, SJ and Bundang office) with together with each site admin
• Acts as liaison with other departments and outside agencies
• Arranges and manages office supplies such as desk, air-conditioner, room tag etc. and consult with other departments for office layout
• Runs company (rental) car service(contract, maintenance and vehicle log) and payment
• Runs dormitory or housing for expatriate employees (contract, monthly rental fee, home appliance purchase) or employees eligible for housing allowance as house sharing
• Consolidate overtime sheets of non-exempt employees of each functions and provide them to HR for Payroll (actual working hour verification will be done by each functional manager)
• Supervises security vendor for employee time check and provide reports/data when requested
• Supervises designated catering services and make a suggestion with bidding process
• Manages service vendors for office cleaning and laundry
• Designs and distributes planner books
• Assures Plant's Goal Storyboard is updated monthly by Goal Owners and posted throughout the plant
• Assures Plant's dashboard is updated monthly by Goal Owners and posted throughout the plant
• Makes timesheet, overtime report and total working hours every end of month (SJ)
• Maintains/orders office supplies etc. - Raising PRs
• Prepares new employee goods - name tag, update whereabouts list, business card and uniforms
• Prepares welcome board and refreshment for visitors
• Updates employees phonebook list
• Fixed Asset list management and approval Request for Disposal of Fixed Asset and asset labeling
• Corporate Seal use log, visitor card log, contractor card log, RF card log management
• Gate barrier management (external vehicles check)
• Employee congratulation & condolence events support - Flower & funeral items sending
• Performs general administrative tasks including mail, records and file management
• Provides administrative backup support as needed for official document forwarding, documenting, calendars, and other miscellaneous tasks requested by co-workers
• Handles daily communications, as needed, for Plant/Site Leader and Operations department (phone, email, etc.)
• Performs general clerical duties, including photocopying, scanning, filing, and document management.
• Prepares and distributes correspondence, memos, reports, and other documents as needed.
• Assists in scheduling appointments, meetings, and travel arrangements.
• Coordinates and organizes meetings, including preparing agendas, taking minutes, and following up on action items.
• Responds to inquiries, emails, and phone calls in a timely and professional manner.
• Interacts with internal staff, clients, and vendors, maintaining a polite and helpful demeanor.
• Maintains and updates electronic and physical records and databases.
• Supports compliance with data protection and confidentiality policies. Support administration process including new comer/leaver documents
• Supports the onboarding process for new employees, including preparing paperwork and facilitating orientation.
• Assists in the coordination and execution of office-wide events, meetings, and conferences.
• Coordinates with various departments to facilitate smooth workflow and efficient operations.
• Assists with special projects and initiatives as required.
• Manages occupational contract of each site with relevant governmental authorities
• Handles ad hoc administrative tasks and requests.
Required Qualifications:
• High school diploma or equivalent; additional education or certification in office administration is a plus.
• Proven experience in an administrative support role.
• Strong organizational and time management abilities.
• Attention to detail and high level of accuracy in work.
• Ability to handle multiple tasks and prioritize effectively.
• Professional and friendly demeanor.
• Ability to maintain confidentiality and handle sensitive information.
• Strong problem-solving skills and resourcefulness.
• 5+ years of experience in G/A
Preferred Qualifications:
• A bachelor's degree in business administration, management, or a related field is often preferred. However, relevant work experience and demonstrated skills can compensate for the lack of formal education.
• Previous experience in administrative roles is desirable. The more than 5 years of experience required.
• Communicate with written and verbal English communication skills preferred.
• Proficiency in using office software (Word, Excel, PowerPoint) and other relevant tools is preferred.
