Position : Entertainment Planning Coordinator(1년 이상)

Summary

This position is responsible for supporting the Entertainment Director, Department. This includes administrative tasks including but not limited to handling event leads, account management and follow-up, customer interactions, and processing reports.

Duties also include communicating with other departments under the direction of the Entertainment Director and supporting other administrative tasks to successfully execute groups and events from start to finish.

Primary Duties and Responsibilities (including, but not limited to):

• Provide administrative support to Entertainment Department - Entertainment Director / Assistant Manager / Specialist.
• Assist in the planning, preparation, coordination and execution of group business.
• Draft the proposal, proforma invoice, contract for sales managers/executives with accuracy.
• Assist or Conduct site inspection and ensure all client’s needs and wants are met before and after the site inspection.
• Assist and participate in sales blitz.
• Maintain group and catering database, including accurate entering of information, updates.
• Ensure that the relevant information of all allocated accounts is being updated regularly in the Sales & Catering system.
• Answer phones and emails in a courteous and punctual manner.
• In the absence of Entertainment Director / Assistant Manager / Specialist, respond to telephone calls or inquires, ensures information/messages are accurately received and relayed to the managers concerns in a timely manner at a standardized format.
• Assists the Entertainment Director/executives to follow up all matters in their absence.
• Assist in the distribution of relevant resort information to client when required.
• Follow up leads whenever required or assigned by the sales managers/executives.
• Liaise and work closely with the related operation departments ensuring guests need and expectations are being met.
• Communicate with internal stakeholders on behalf of Entertainment Director/executives as the onsite support while they are outside of the property.
• Prepare, compiles and distributes the daily/weekly/monthly report in a timely manner.
• Ensure services provided are always carried out according to the SOP with the utmost efficiency, consistency.
• Maintain a detailed knowledge of resort facilities, features and services.
• Maintain high personal grooming standards and professional demeanor.

Education and Qualifications:

• Bachelor's degree in Music Business, Entertainment, Event, Marketing, Hotel or related field.
• Microsoft office – Word, Excel, PowerPoint skills.
• Fluent English written and verbal communication skills.
• Fluent Japanese or Chinese will be a plus

Physical Demands and Work Environment:

• Field and Office work environment.
• Must be able to work in a fast-paced, high-volume environment.
• Must be able to work flexible hours if required.
• Must be able to travel to oversea for business trips when required.
