[´ã´ç¾÷¹«] A. Overall Purpose Of The Job This position mainly supports GM and also performs administrator¡¯s duties for the site. Must be well organized and flexible to interact effectively with internal and external stakeholders and enjoy the administrative challenges of supporting a multi-national company structure with diverse roles and responsibilities.
B. Key Responsibilities PA support for GM (50%) ¡Ü Schedule & arrange appointments, meetings, and events and maintain a calendar, send reminders ¡Ü Arrange both internal and external events, book meeting rooms and prepare facilities for scheduled meetings, events, and arrange refreshments, if required. ¡Ü Perform as liaison among internal departments and handle internal & external correspondence on behalf of GM/executives ¡Ü Coordinate internal/external communications through calls and emails with clients, employees and other regional offices. ¡Ü Draft and circulate internal announcements on behalf of GM ¡Ü Support GM¡¯s business expense reporting ¡Ü Organize meeting materials, business reports, and contact lists for GM ¡Ü Perform overall day-to-day secretarial tasks for GM ¡Ü Other relevant duties and projects as requested and assigned
Office Admin for Korea (50%) ¡Ü Provide general administrative support to team members in the office. ¡Ü Maintain the office environment so that it is always kept neat and in line with corporate policy. (Clear desk & badges, Security and other relevant policies and procedure) ¡Ü Manage office entrance pass and its system: visitor log, badges and staff ID cards – purchasing, issuing, record management, SECOM registration/management, etc. ¡Ü Coordinate ACS/MSS audit preparation with focus of Office Security and Business Continuity Plan ¡Ü Ensure timely and regular servicing and maintenance of the office equipment. Have office fixtures and appliances repaired as required. ¡Ü Liaise with building management office to resolve any facilities-related issues. ¡Ü Support HR on office renovation or moving ¡Ü Work with HR to organize and support office events. ¡Ü Office supplies management 1) Conduct purchasing order, payment settlement and stocktaking for office supplies, consumables and assets 2) Improve purchasing process and procurement for office consumables and assets through innovations. 3) Make the standard criteria for office items, gifts and others. 4) Support the employees on using Oracle PO ¡Ü Internal/external visitor 1) Support inbound visitors and outbound travelers on flight, hotel, transportation booking, Travel Tracker, visa, office parking etc. 2) Business travel support: Conduct business travel inductions for employees and provide relevant support 3) Perform overall day-to-day general office administration work. 4) Other relevant duties and projects as required and assigned.
