1. Accounting/Tax
? Support the optimization of the company¡¯s financial transactions, workflows, and systems to improve operational efficiency.
? Manage Accounts Receivable (AR) and Accounts Payable (AP) ledgers accurately and in a timely manner.
? Perform bookkeeping duties within the company¡¯s accounting system (e.g., SAP) and ensure proper documentation of all financial records.
? Oversee deposit and payment processes, including operating expenses and employee reimbursements, through the company¡¯s bank accounts.
? Conduct cash flow forecasting and monitoring to support effective liquidity management.
? Prepare profit analysis reports and perform budget-to-actual comparisons aligned with management plans.
? Prepare financial statements (Balance Sheet, Profit & Loss Statement, and Cash Flow Statement) with accuracy and within reporting deadlines.
? Review the adequacy and reasonableness of monthly expenses and ensure proper cost allocation.
? Plan, manage, and control budgets in accordance with corporate policies and guidelines.
? Coordinate with external accountants for tax return preparation and provide necessary reports to headquarters.
? Liaise with external stakeholders, including auditors, tax agents, corporate secretarial firms, and local tax/government authorities, as required.
? Support statutory tax filings (GST, TDS, Income Tax, etc.) by providing accurate data and ensuring compliance with applicable regulations.
? Provide administrative support for Board of Directors meetings and General Meetings of Shareholders.
? Ensure accurate and compliant processing of employee payroll and reimbursement payments.
? Perform other responsibilities required to ensure the company¡¯s financial reporting aligns with internal policies and statutory requirements.
? Handle ad-hoc financial or administrative projects assigned by management.
2. HR
? Handle HR management functions, tasks, and responsibilities which include: Payroll and Compensation, Recruitment and resignation, Benefits Program, HR Policy, Attendance /Leave management, Performance and appraisal, Training Program, and so on.
? Attending interdepartmental meetings with other managers
? Supporting new employee onboarding and training.
? Overseeing exit interviews and procedures- Offboarding
? Make up employees¡¯ data for payment of payroll
? Ensure payroll and tax withholdings comply with regulations
? Ensure legal compliance throughout human resource management.
? Maintaining employee records and paperwork, including up-to-date records of insurance claims
3. General Affairs
? Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel; maintaining file systems; mailing and shipping packages; and updating contacts database and employee lists
? Office Admin; Ensuring/managing the company¡¯s IT assets file on a regular basis.
? Ordering and maintaining office supplies
? Facilitating employee safety training
? Supporting and planning internal Special events
? Creating and maintaining files, both electronic and physical
? Managing security protocols
? distributing badges to visitors and providing any relevant IT information
? Supporting Meeting or visiting of Directors from H.Q
4. Secretary
? Organizing the branch manager¡¯s schedule/appointments/meetings
? Solving the branch manager¡¯s issues through direct communication
? Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel; maintaining file systems; mailing and updating contacts database and employee lists
